What is a CRM (Client Relationship Management)?
A CRM is software that keeps track of your prospects, leads, customers & deals. The CRM makes it easy for me to keep detailed notes and access that information quickly on my mobile phone or desktop.
No more notepads or trying to keep it all straight in my head.
While there are many CRM options out there, I'm going to talk about the HubSpot CRM as that is the one I'm most familiar with.
How It Works - Sales
The HubSpot CRM is designed for both Sales and Marketing functions.
On the Sales side it organizes and tracks website visitors, prospects, leads and existing customers. Without it I wouldn't be able to manage more than a dozen people or deals in my head.
Each person has a contact record with their contact info, how I can help them, what we spoke about and what to do next. Here are just a few examples of what I track.
- Email communications between my company and theirs
- Phone calls we've had
- Follow up tasks to remind me of things
- Visits to my website (what pages they viewed)
- Read documents or clicked links
- Deal stage
- Deal amount
- Deal details
- And more
If I get an email or phone call from someone I haven't spoken to in months, I can quickly view their contact record and see where we left off and what we spoke about. I'm always prepared and composed.
The customizable dashboard is also an important feature. At a glance I can see all my metrics. Did I make more calls this week? Did I send fewer emails? How many deals are on the table? When will those deals close?
All important metrics for productivity and forecasting.
How It Works - Marketing
On the marketing side, we use it to organize and post the following:

- Social Media Posts
- Social Media Mentions
- Email Newsletter
- Website Traffic and Analytics
- Lead Forms & Newsletter Subscriptions
- And more
For us and our clients, we can accomplish more in less time. Before using the CRM, we would have to log in to multiple social accounts, blogs, Email Software & Reporting Software accounts.
Having it all in one place saves my team and I hours each week. Everything I need is only one or two clicks away, and by having it all together, running reports is a breeze.

Why You Need It
The world is changing quickly and you need every available advantage. When our clients use these tools before their competition, they end up dominating the space.
